Late Applications Process
Research Services Office (RSO)
The Research Services Office (RSO) continues to see significant volumes of late applications and deadline extension requests for external grant applications. To reduce this, Faculty members, their teams, and staff should familiarize themselves with the internal deadlines and submission process listed on the relevant Funding Calendar entry or Research Management System (RMS) Funding Opportunity.
Late applications generate financial, regulatory and reputational risks to the institution and the applicant by compromising RSO’s ability to complete its due diligence. They limit RSO’s ability to offer a fair and equitable service that effectively supports all other researchers who submit their applications on time. Further, they compromise RSO’s ability to manage workload effectively resulting in additional stress and overtime for staff.

Late applications will only be accepted in cases of medical or family emergencies, or other exceptional circumstances.
Approvals for late applications
If you submit your RMS record to Research Services after the internal deadline has passed you will need to secure additional late approvals. If you are anticipating your application being late, please email rsogrants@ucalgary.ca.
The standard internal deadline for RSO to receive your fully complete RMS record with Faculty/Department approvals is at noon, 3 business days in advance of the agency submission deadline. For example, an application due to the agency by Thursday afternoon must be received by RSO on Monday at noon. An agency deadline on a Monday would submit to an internal deadline on the previous Wednesday.
Late submission approvals will be required if the application is submitted after the deadline. If you are from the Cumming School of Medicine, medgrant@ucalgary.ca will facilitate the late approval from the Associate Dean Research (ADR). If you are from another Faculty, your ADR and Research Facilitator will be copied in the late approval email, to facilitate the late approval. After receiving ADR late approval, rsogrants@ucalgary.ca will collect late approval from Associate Vice-President Research and Executive Director of RSO, Dr. Robert Thompson.
When both approvals are received, the RSO External Grants team will proceed to review the application on a best efforts basis. We ask that you please respect and adhere to these deadlines.
